Collecting reviews via check-in or member app

A gym has something most businesses lack: daily contact with the same customer, through the check-in at the door and the app on their phone. Yet few gyms collect reviews with it, while exactly those channels can catch the review moment without anyone at the front desk having to think about it. The trick is not asking for a review at every check-in, because then you become the notifications members swipe away. The trick is picking the right moment: not the hundredth check-in, but the moment a member just hit a milestone or notices it is working out. The check-in and the member app are then not a collection machine, but a way to ask a short, targeted question at exactly the motivating moment.

Why does the gym have the advantage here?

Because the customer relationship is repeated and digitized. Where a restaurant sees a guest once and a workshop sees a customer a few times a year, a gym sees its members several times a week, and usually through an app or check-in system you control yourself. That gives you something rare: the chance to choose the review moment instead of hoping it occurs. You can wait until the member is motivated and only then ask.

That makes the gym different from sectors with one peak moment after a service. How that peak moment works elsewhere is in the best moment to ask for a review. At a gym you pick the moment within a longer relationship.

What is the right moment to ask through the app?

Not at sign-up and not at every check-in, but at a motivating milestone. After a successful trial workout, at the end of a positive first month, or at a milestone the app registers anyway, like the fiftieth workout. At such moments the member feels the value and a positive review comes naturally. Ask randomly and you mostly get irritated members swiping the notification away; ask at the milestone moment and you get the stories that convince new members.

Which reviews those are exactly and why they weigh more with a doubter who still has to sign up is in reviews and trial workout conversion.

Check-in or app, which works better?

They do different things. The check-in catches the member on site, in the atmosphere of the gym, but it is fleeting: nobody stands at the door typing a review. A QR at the check-in therefore works as a first nudge, with the review the member finishes at home. The app is more powerful, because there you can pick the moment and send a short push notification at the milestone, with a direct link. In practice the combination works best: the app picks the moment, the link makes it easy.

What you avoid is tying the ask to a reward like free training weeks, because that is not allowed and it damages your review picture; the reason is in can you offer a reward for a review.

How do you automate this without annoying members?

By tying the ask to the milestone, not the calendar, and asking each member only once. With Repmanager you set a review invitation to go out automatically at the motivating moment, for example a few days after the trial workout or at a training milestone, without anyone at the front desk having to think of it and without approaching a member who already responded. That way you use the gym's contact advantage without over-asking your members, and you build a review picture that shows the atmosphere new members are looking for. How this fits into the broader collection approach is in how to structurally get more reviews.
